Prologis, Inc Leasing & Marketing Assistant in Mexico

Position Summary: Primarily responsible for supporting the VP – Market Officer and Marketing / Leasing department. The challenges of the position will be dealing with multiple priorities and in being aware of and responsive to internal and external customer needs. The position will be fast-paced, handling many issues concurrently which are often time-sensitive and/or confidential.

Position Responsibilities:

  • Administer the entire lease process from start to finish, including the following:

  • Assist with tenants’ and tenant brokers’ procurement, coordination, visits and communications to capture and crystallize any opportunity in the market, including but not limited to leasing of new spaces, BTS, renewals, expansions or relocations.

  • Coordinate and supervise leasing and marketing materials, included but not limited to signs, flyers, availability reports and other branding carried out internally by the leasing team and externally by listing brokers, if any.
  • Supervision and assistance throughout all the leasing cycle, from proposal elaboration through lease execution and consolidation in our internal systems. These activities include but are not limited to the elaboration of and follow up of: proposals (and their inclusion in PORT reporting system), LOI, Lease agreements and LSGs.
  • Follow up on post-closing items such as, but not limited to, corporate guaranties, insurance policies, security deposits, close out of the process in our internal systems and coordination of transition of the lease to the property management team.
  • Market Fundamentals and Competitive Set Analysis, including, but not limited to, market industrial overview, market players and their activity, market absorption, market vacancy, cap rates, rental rates and trends.
  • Corporate relations that include, but are not limited to, brokers, park or developers associations.
  • Work with and support others on the Operations team, including the Operations Analyst, external leasing teams, property management teams, acquisition and development teams, to ensure timely and effective workflow.
  • Regular meetings and communications with Market Officer to review internal/external workflow and to improve procedural efficiencies.
  • Provide full administrative support for Market Officer. These activities may include but are not limited to:

  • Travel arrangements, coordinating events and holiday mailings, submitting expense reports, maintaining business card contacts, faxing, signing up for events, etc.

  • Assist, as necessary, with office phone coverage (answering phones, answering the door, distributing mail, etc) and update department calendar as necessary.
  • Assist, as necessary, with mail (open, distribute, file copies, prepare items for outgoing, plus mass mailings) and other administrative functions in the office.
  • Assist with coordination of meetings and events, including ordering lunch, setting up conference rooms/calls, preparing handouts or appropriate materials, and addressing special project needs.
  • Assist in various ad-hoc/special projects (i.e. broker events, department events, planning/meetings).
  • Order marketing items when needed (covers, inserts, binds, etc.)
  • Remain conscious of overall office’s look (especially kitchen) to make sure all is neat and tidy.
  • Other duties as assigned.

Essential Skills & Experience:

  • Minimum of 2 years experience in the administrative function and related business experience and knowledge of commercial leases/contracts and real estate terms.
  • Skillful in English and Spanish languages.
  • Proficient in Outlook, Excel and Word. Preferred: Acrobat, Power Point, Photoshop. Ability to readily learn internal, corporate computer platforms.
  • Excellent verbal communication and written skills.
  • Committed to production of timely, high quality, accurate work.
  • Detail orientated with strong organizational skills. Ability to prioritize and work independently.
  • Enthusiastic and positive attitude, with a sense of humor.
